📋 How to Create and Work with Procedures in DealTrail

Overview

Procedures in DealTrail allow you to streamline repetitive task creation for your business processes. For instance, if you frequently create multiple tasks (e.g., 10 or 12) for new clients, procedures can group these tasks into a single automated process. With a click of a button, you can launch all tasks associated with a procedure for a specific client, saving time and ensuring consistency.


Creating a Procedure

 

1. Accessing the Procedure Section

Navigate to the project where you want to create a procedure and click on the Procedures tab.

2. Creating a New Procedure

• Click on the New Procedure button.

• Give the procedure a descriptive title (e.g., “Loom Procedure”).

• Set the Start Date and Due Date:

Start Date: Determines how many days after the procedure is triggered the tasks will begin.

Example:

• 0 → Starts immediately.

• 1 → Starts the next day.

Due Date: Defines the deadline in days from the trigger date.

Example:

• 5 → Tasks are due 5 days after the start.

• Choose whether the procedure is triggered manually or via tagging in workflows.

3. Assigning a Project

• Select a project to associate with the procedure.

4. Adding Tasks to the Procedure

• Add individual tasks within the procedure.

• Define task titles.

• Assign users.

• Set task priority (e.g., High, Medium, Low).

• You can create multiple tasks to be launched as part of the procedure.


Launching a Procedure

 

1. Manual Launch

• Open the procedure, select a client or project, and start the procedure. This action creates all the tasks immediately.

2. Workflow Trigger

• Use a workflow to automate the procedure by adding a tag to a client.

Example:

• Add a specific tag (e.g., “Loom”) to a client, and the procedure will automatically launch and create tasks for that client.


Viewing Tasks Created by a Procedure

 

1. Navigate to the relevant project in DealTrail.

2. The tasks created by the procedure will be listed under the project, showing:

• Task titles (e.g., Project 1, Project 2).

• Assigned users.

• Priority levels.

• Creation details, including the user and timestamp.


Benefits of Using Procedures in DealTrail

 

Time-Saving: Launch multiple tasks simultaneously instead of creating them individually.

Consistency: Ensure all required tasks for specific scenarios (e.g., onboarding) are always included.
